48 Hours to Save a Program. Done.
Program rebuilt overnight without missing a beat
The original program was a straightforward 3-day Costa del Sol incentive for 22 guests from a Dutch renewables energy company: arrival from Amsterdam, buggies and quads on day one with a dinner show at Mamzel Marbella, water sports and lunch at Trocadero Arena on day two rounded off with dinner at Mosh Fun Kitchen, and a final morning of shopping in Puerto Banús before the flight home. High pace, activity paired with gastronomy and show, a clean departure.
One day before arrival, the airline cancelled the return flight. The only workable solution meant extending the program by 2 days from 3 nights to 5 with the group already essentially in the air. That meant finding, in Marbella, in the middle of August, on a weekend, 4 new restaurants with real availability for a group of 22, blending show with local and international cuisine so the extra days wouldn't feel like filler. New activities were needed that wouldn't repeat what the group had already experienced, including an entire morning in a suspended forest, a treetop experience built across the natural woodland above the coastline. All of it confirmed with barely any lead time, arrival date already bearing down.
Anyone can deliver a program with weeks of notice. What gets tested is what happens when that program stops being valid overnight, in the destination and season that forgive the least. Availability in Marbella in August dries up weeks in advance, and yet the program was rebuilt in full without dropping the standard the group had already started to experience. That, ultimately, is the value of having a team on the ground: not just designing the perfect program but holding it together when reality decides not to cooperate
